The following explains why we use your Personal Data and the specific purposes behind each processing activity. We aim to use only the Personal Data that is necessary to provide our Services and to maintain a safe, efficient platform connecting Coaches and Clubs.

In many cases, we rely on our legitimate interest to process Personal Data, particularly where the processing is necessary for the operation, maintenance, security, and improvement of our Website and the provision of our Services.
Provide and Manage Our Services

To operate Connexpadel, we need to process certain Personal Data from Coaches and Clubs. This allows us to assess applications, match Coaches with Clubs based on the qualifications of the Coach and the needs of the Club, and ensure the Website functions properly.

This includes:

1. Registering Coaches and Clubs;
2. Matching Coaches with the most suitable Club opportunities;
3. Facilitating communication;
4. Verifying Coach qualifications and suitability;
5. Ensuring correct Website functionality;

Legal basis: performance of a contract; legitimate interest in operating and improving our Website and providing the Services.
Communication

We use your contact information to communicate with you about your applications, or inquiries. Communication is essential to help you navigate the Website and for us to provide timely assistance.

This includes:

1. Responding to messages or inquiries;
2. Sending platform updates;
3. Providing support.

Legal basis: legitimate interest in providing our Services.
Service-Related Communications About Job Opportunities

When a Coach registers on our platform, we may contact them solely to inform them about potential job opportunities that match their profile or to request additional information required to assess their suitability for a specific Club’s requirements. When a Club registers on our platform, we may contact them to request further details about their Coaching needs, expectations, or requirements in order to identify suitable Coaches. These communications are directly connected to our core service of matching Coaches with Clubs.

This includes:

1. Informing Coaches about suitable job opportunities;
2. Requesting additional details to assess suitability for a Club;
3. Communicating updates related to an ongoing placement process;

Legal basis: legitimate interest in providing our Services.
Analytics & Improvement

We analyze usage data—often aggregated or anonymized—to understand how the Website is used and to improve its performance, features, and user experience.

This includes:
1. Website analytics;
2. Service improvement;
3. User experience optimization.

Legal basis: legitimate interest; consent (for analytics cookies).
5. Sharing of Personal Data

We only share Personal Data when it is necessary for the operation of our Services or when required by the Laws. We do not sell your Personal Data, and all sharing is carefully controlled and compliant with GDPR obligations.

To enable matching, we share information about Coaches with Clubs once the application reaches a suitable stage. Clubs only receive data essential to evaluate the Coach (e.g., CV, video, certifications).

In rare cases, we may be required to share data with authorities to comply with legal obligations or protect our rights.

If Connexpadel undergoes restructuring, merger, or acquisition, your Personal Data may be transferred under appropriate confidentiality safeguards.

We do not sell, rent, or trade your Personal Data.
6. International Data Transfers

Some Clubs or Coaches or partners may be located outside the EU/EEA. When data is transferred internationally, we ensure the transfer is lawful and secure.

We rely on mechanisms recognised by the GDPR, such as adequacy decisions and Standard Contractual Clauses (SCCs), to ensure an equivalent level of protection of your data.

When Coaches or Clubs located outside the EU/EEA receive Personal Data (for example, when a Coach applies for a role in a Club based in a third country), this constitutes an international data transfer. While we take reasonable steps to ensure that Clubs understand their GDPR obligations, we cannot control their independent processing of the data once transferred.
7. Cookies and Tracking Technologies

Cookies help us understand how visitors use the Website and allow us to provide a better, more personalised experience. Some cookies are essential for the Website to function, while others are used for analytics or marketing.

In addition, the collection of Cookies is in order to (a) enable the smooth operation of our Website in general and provide you with constant, uninterruptible and error-free access to our Website, and (b) monitor how effective and popular our Website is, how to improve it, tailoring it to our visitors and their interests and needs. Where required by the Laws, we only place non-essential cookies after obtaining your explicit consent.
8. Data Storage and Security

We take the protection of your Personal Data seriously. For the storage and security of your Personal Data Connexpadel takes all the necessary technical and organizational measures to ensure that the processing is carried out in accordance with the Laws. We store your Personal Data securely preventing unauthorized access, loss, misuse, or disclosure. Furthermore, we limit access to your Personal Data to those who have a genuine business and need to know it. Those processing your information will do so only in an authorized manner and are subject to a duty of confidentiality.
9. Data Retention

We retain your Personal Data provided to us via our Website or other electronic communication channels only for as long as necessary to fulfil the purposes it was collected for. Retention periods depend on the type of data and the nature of your interaction with Connexpadel. Insofar as retention periods under commercial and tax law must be observed, the storage period for certain data can be up to 7 years. However, storage periods may also be amended due to our legitimate interest (e.g. to guarantee data security, to prevent misuse or to prosecute criminal offenders). When your Personal Data is no longer needed, it is securely deleted or anonymized.
10. Your Rights

As an individual in the EU/EEA, you have specific rights regarding your personal data. We are committed to enabling you to exercise these rights easily and transparently, which include the right to:

- receive information about the processing of your personal data and obtain a copy of the data we hold about you;
- request the rectification of inaccurate or incomplete Personal Data;
- request the erasure of your Personal Data in certain circumstances;
- request the restriction of the processing of your Personal Data;
- receive your Personal Data in a structured, commonly used, and machine-readable format and transmit those data to another controller, where technically feasible;
- object at any time to the processing of your Personal Data when such processing is based on our legitimate interests;
- withdraw consent at any time, where processing is based on consent (this does not affect the lawfulness of processing prior to withdrawal);  - lodge a complaint with a competent supervisory authority.

To exercise any of these rights, please contact us at the details provided below. In response to such requests, we reserve the right to require the individual making the request to provide certain details about herself/himself so that we can validate that the individual is indeed the person whom the data refers to.

We will respond to your request without undue delay and, in any event, within one month, as required by the GDPR.

Where a request is manifestly unfounded or excessive, we may charge a reasonable fee or refuse to act on the request, in accordance with the GDPR.

If you choose not to provide certain personal data or exercise your rights in a way that limits the processing of your information, we may be unable to provide parts of our Services or the functionality of the Website may be affected.

There are limited circumstances in which your rights may not apply in full—for example, where processing is necessary to comply with a legal obligation, to establish or defend legal claims, or for reasons of important public interest as permitted under the GDPR.

If you have concerns about how we handle your personal data, you may contact us at any time (see “How to Contact Us” below). We will investigate your complaint and work with you to resolve the matter.

We do not use automated decision-making or profiling that produces legal or similarly significant effects.
